Fleets

Does your business have 10 or more commercial vehicles? You may qualify as a fleet. A fleet is 10 or more commercial vehicles owned by a company and actively registered at all times. A fleet can be renewed quarterly, semi-annually, or annually. If you have a fleet, your registration expiry date could be March 31, June 30, September 30, and/or December 31. When your fleet registration is due, you will be sent a Renewal Listing. As the business owner or as an agent for the business, you will need to confirm that the information is correct on the Renewal Listing and indicate any additions, deletions, or modifications. Fleets are issued a Vehicle Registration Certificate with no expiry date, which means you will not need to switch out certificates annually in your vehicles.

What is “Proof of Valid Insurance”?

To register a motor vehicle in Alberta, it must be properly insured, and you must maintain that insurance while you own the vehicle. Insurance coverage must include public liability and public damage. Your insurance company will be able to tell you the type of coverage you need and coverage options available.

Your proof of insurance document must include the name(s) of all registrant(s) that will appear on the vehicle registration.

Proof of insurance can be completed by showing an electronic or physical copy to the registry clerk at the time of registration. Insurance must be valid on the day of registration.

In-transit Permit

An In-Transit Permit is a temporary registration used in lieu of having a licence plate.These are used when you need to move a vehicle or a trailer that does not have a regular valid registration or licence plate.

These are used when you need to move a vehicle in between provinces in Canada,and they are also used for car dealerships, for demonstrations when vehicle repairs are being done,and for salvage vehicles.

To obtain an In-Transit Licence, you will need an identification document and proof of insurance.

Towing – Courtesy Letters

The New Urban Registry can provide courtesy letters for towing companies.These letters are used by towing companies who have vehicles in their possession and need to contact the current owner.

If you area towing company interested in this service, please contact us at services@newurbanregistry.com to set up an account.Once your account is active, you can apply for us to send courtesy letters by emailing or faxing us a request. We will require a signed and dated request letter indicating the vehicle’s VIN (or a reason the VIN was not readable, if applicable) and at owing slip dated within 15 days (or 21 days if issued from outside of Canada).

Once received, we will mail your client a letter within 24 business hours. We will also mail you a confirmation letter for your records.

If you will be sending these documents on a regular basis, you will first need to create an AMVIR agreement with the Alberta Government.You can find more information on this process at services@newurbanregistry.com.

Personalized Plates

Vehicle owners in Alberta can request a personalized plate. Personalized plates can be a way of expressing yourself and showing your creativity.There are some restrictions on what is allowed in the Province of Alberta.Your plate:

  1. Cannot be an expression of human rights discrimination
  2. Cannot express language that is considered abusive, vulgar, derogatory,obscene, or profane
  3. Cannot have a sexual meaning
  4. Cannot be a political or social opinion
  5. Cannot be a negative message about the government
  6. Cannot be an expression of violent or criminal activity

Personalized plates are on a first come, first served basis.There is no way to reserve a personalized plate. Please contact motorvehicles@newurbanregistry.com for more information.

Vehicle Information Reports

A Vehicle Information Report is a document that shows the history of a vehicle in Alberta.This information report will only show information from Alberta and does not include information from any other location where a vehicle may have been registered.You will need the VIN number of the vehicle you wish to search.

The report will list

  • the vehicle’s description, such as year, make, model, style, color, and fuel type
  • the vehicle’s status, such as active, rebuilt, or salvage
  • odometer reading (if one was provided)
  • registration dates and locations
  • the number of liens registered in Alberta against the vehicle

Bill of Sale

All ownership documents must include the following required elements:

  • Buyer(s) / Lessee(s) name and signature
  • Seller(s) / Lessor(s) name and signature
  • Vehicle description (make, model, year, and VIN)
  • Date of purchase and/or agreement

Important:
Documents must not be altered. Any changes must be initialed by both the buyer and seller.

Acceptable Proof of Ownership Documents

  • Bill of Sale
    • For brand new vehicles, a New Vehicle Information Statement (NVIS) must also be provided.
    • The NVIS must be original. If the original is unavailable, a signed letter from the dealership confirming the NVIS was lost, along with the factory invoice, may be accepted.
  • Lease Agreement
    • If registering the vehicle under a name different from the lease, a signed permission letter from the lessor is required, indicating approved registration names.
  • Confirmation of Master Lease Agreement
    • Used only when a lessor provides multiple vehicles under a single master lease over time.
    • Not valid for standard lease agreements.
  • Alberta Vehicle Registration Certificate (Previous Owner)
    • Section 2 must be completed and signed by both the buyer(s) and previous owner(s).
  • Out-of-Province (Canada) Vehicle Registration Certificate
    • If unavailable, a confirmation letter (dated within the last 90 days) from the issuing jurisdiction may be accepted in lieu.
  • U.S. Certificate of Title
    • Required for vehicles originating from the United States.
  • Utility Trailer Documentation (Retail Purchase)
    • Sales receipt and NVIS or Electronic NVIS (E-NVIS), if available.
    • If NVIS/E-NVIS is unavailable, the client must provide the trailer’s year, make, and serial number.
  • Manufacturer Purchase Documents
    • Manufacturer invoice document with vehicle particulars AND
  • New Vehicle Information Statement (NVIS)
    • The NVIS must be original. If the original is unavailable, a signed letter from the Manufacturer confirming the NVIS was lost, along with the factory invoice, may be accepted.
  • Estate Documents
    • Includes one of the following:
      • Will or probated will
      • Bill of Sale from the estate’s personal representative
      • Letter of Administration from the court
      • Letter from a lawyer confirming authority to act on behalf of the beneficiary and they confirm that they are entitled to be named as registered
  • Court Order
    • Must be signed and sealed.
  • Statutory Declaration
    • Applicable for:
      • Motor vehicles valued under $2,500
      • Trailers valued under $1,000
    • Must be completed at a registry and include:
      • Date the vehicle/trailer was acquired
      • Reason for absence of ownership documents
      • Estimated value
      • Previous owner’s name (if available)
      • Vehicle description (make, model, year, VIN)
